How to Use the WhatsApp Catalog to Close Orders Faster
The Problem With Photo Dumps
A buyer messages "how much is the black abaya?" and you reply with eight photos, three voice notes, and a price. Then they ask about the navy one. Then the beige one. Twenty minutes later you are scrolling up trying to find what you quoted, and they have gone quiet.
This is the most common failure mode in WhatsApp selling: the photo dump. It feels helpful. It is actually exhausting for the buyer and impossible for you to track.
The WhatsApp Business catalog fixes this. It is free, it lives inside your profile, and it lets a buyer browse, tap a product, and send you an order message with the item name already filled in.
Setting Up the Catalog (10 Minutes)
Open WhatsApp Business, go to Settings → Business tools → Catalog. Add each product with:
- One clear photo on a plain background. Not a collage. Not a screenshot of a screenshot.
- Product name that a buyer would actually type: "Linen Blouse – Beige – M" not "NEW ARRIVAL 2024."
- Price in the local currency. If the price varies by size, put the base price and write the rest in the description.
- Description with the three things buyers always ask: sizes available, delivery time, and whether cash on delivery is accepted.
Add 10–15 products to start. You do not need your whole inventory. Add the items you get asked about most.
The One-Line Reply That Replaces the Photo Dump
When someone asks "how much is X?", do not send photos. Send this:
> أهلاً [name] 👋 كل المنتجات والأسعار موجودة في الكتالوج فوق. اضغط على الصورة اللي تعجبك وابعتلي "أطلب" وأنا أأكدلك المقاس والتوصيل.
In English:
> Hi [name] 👋 All products and prices are in the catalog above. Tap the one you like and send me "order" — I'll confirm size and delivery right away.
The catalog button appears automatically in the chat header once it is set up. Buyers tap it, browse, and tap Add to cart. WhatsApp then sends you a message that says exactly which product they want.
You skip the entire "which one do you mean" loop.
Turning the Order Message Into a Confirmed Sale
The order message from the catalog is not a confirmed sale. It is a warm lead. Reply within 12 minutes with this structure:
- Confirm the item and price in one line. No re-asking what they wanted.
- Ask the two questions that matter: size and address. Nothing else.
- Give a delivery window with a specific day. "Tuesday or Wednesday" beats "soon."
- State the payment method in the same message. Do not wait for them to ask.
Example:
> تمام [name]! العباية السوداء مقاس M بـ 450 جنيه. محتاج منك حاجتين بس: المقاس النهائي والعنوان بالتفصيل. التوصيل يوم الثلاثاء أو الأربعاء، والدفع كاش عند الاستلام. تأكدلي وأنا أحجزلك القطعة.
This message does four jobs in one send. Most sellers split it into four messages and lose the buyer between them.
Three Mistakes That Kill Catalog Orders
Stale prices. If the catalog says 450 and you quote 500 in chat, the buyer feels tricked. Update the catalog the moment a price changes. Set a reminder every Sunday to review it.
No stock status. If an item is sold out, remove it or mark it clearly in the description. Nothing loses a buyer faster than ordering something you then say is unavailable.
Ignoring the catalog order message. When a buyer taps "add to cart," they are at their most ready to buy. If you reply three hours later, they have already messaged two other sellers. Treat catalog orders as priority messages — turn on notifications specifically for them.
When the Catalog Is Not Enough
Some products need context: custom sizes, bundles, or items where the photo does not do it justice. For those, keep a saved reply with a single hero photo, price, and a one-line description. Send that instead of a dump.
Also, the catalog only shows what you have listed. If you sell 40+ items and get asked about things not in the catalog, you will still end up typing prices manually — and that is where most sellers lose track of who was quoted what.
This is the gap Co-Social was built to close: it keeps every WhatsApp, Instagram, and Messenger chat in one inbox and remembers what you quoted each buyer, so a catalog tap and a DM conversation end in the same confirmed order.
