Stop Losing Orders in Chat: 5 Leaks That Cost You Sales

·4 min read chat saleswhatsappinstagramorder confirmation

You reply fast, you're polite, and you send the price. Yet the order never lands. The problem is rarely your product — it's a leak in the chat flow. Here are five leaks that quietly kill orders, and how to patch each one today.

Leak 1: You answer the question but don't ask for the next step

A customer asks, "How much is the abaya?" You send the price. They say "thanks" and vanish. You answered, but you didn't move the conversation forward.

Fix: Every price reply ends with a question that assumes the next step. Use this two-line format:

> "The abaya is 450 EGP, available in black and beige, sizes S–XL. Which color do you prefer?"

If they answer "black," you're already in an order conversation. If they don't reply, you've lost nothing — but you've given them a reason to respond.

Leak 2: You let the chat go cold overnight

A customer messages at 11:40 PM. You see it at 8 AM. You reply. They don't. They were ready to buy last night; this morning they're busy or they've found someone else.

Fix: Set a WhatsApp Business away message that promises a time, not an apology:

> "Thanks for your message! We're offline now but will reply by 9 AM with availability and delivery options."

Then actually reply by 9 AM with a specific offer, not just "how can I help?". For example: "Good morning! The black abaya in size M is available. Shall I reserve it for you today?"

Leak 3: You send a wall of text when they asked one thing

A customer asks, "Do you have this in blue?" You reply with a paragraph about fabric, washing instructions, delivery times, and a list of other colors. They don't read it. They ask again, or they leave.

Fix: Answer the exact question in one line, then add one optional detail. Example:

> "Yes, we have it in blue. Same price, 450 EGP. Want me to send a photo?"

Short replies feel like a conversation. Long replies feel like work.

Leak 4: You don't confirm the order in writing

A customer says, "OK, I'll take the black one." You say, "Great!" and move on. Two days later they say they never confirmed, or they forgot, or they changed their mind. You have no record.

Fix: Send a confirmation message that asks for one clear reply. Use this template:

> "Perfect! To confirm your order, please reply with:

> 1. Full name

> 2. Address

> 3. Preferred delivery time

> Total: 450 EGP + 50 EGP delivery = 500 EGP. Reply 'confirm' and I'll book it now."

This does two things: it creates a written record, and it gives the customer a tiny, easy action. "Confirm" is easier than typing out an address.

Leak 5: You don't follow up once, at the right time

Most sellers either never follow up or follow up too many times. One follow-up, 24 hours after the last message, recovers a surprising number of orders.

Fix: Use a single follow-up message that adds value, not pressure:

> "Hi [name], just checking if you still want the black abaya in size M. I have one left in stock. If you'd like it, I can reserve it until tomorrow evening."

If they don't reply to that, let it go. Two follow-ups feel like harassment; one feels like service.

The common thread

All five leaks come from treating chat as a place to answer questions instead of a place to move a customer one step closer to "confirmed." You don't need a CRM or a new app to fix them. You need a default next line for every common situation.

Write your five most common customer questions on a piece of paper. Next to each, write the one-line answer and the one question that moves the order forward. That's your script. Use it until it's automatic.

If you're handling dozens of chats a day across WhatsApp and Instagram, the repetition is what drains you. Tools like Co-Social can take over the repeated answers and keep the order details in one inbox, so you can focus on the conversations that actually need you. But even without any tool, patching these five leaks will stop orders from slipping away.
