From Instagram DM to WhatsApp Order: A 7-Step Flow That Closes Sales
Most of your Instagram buyers don't disappear because they changed their mind. They disappear in the handoff between Instagram DM and WhatsApp — the moment where you ask them to move, and they don't.
This flow fixes that handoff. It's built for sellers who take orders in DMs, not on a website.
Step 1: Qualify in the DM before you move anyone
Don't ask every DM to jump to WhatsApp. Ask only the ones who are actually buying.
Signals someone is ready to move:
- They asked about price, size, colour, or delivery time
- They asked "is this available?"
- They sent a screenshot of a product
- They named a city or area
If someone just wrote "nice" or a heart emoji, keep chatting in the DM. Moving them too early is the #1 reason people go quiet.
Step 2: Use a move line that gives a reason, not a command
"Send me a message on WhatsApp" feels like work. Give them a reason.
Copy these:
- "So I can send you the photos and the price list in one place, message me here: [link]"
- "I'll send the size guide and confirm delivery to your area on WhatsApp — tap here: [link]"
- "To hold this piece for you, I need a quick confirmation on WhatsApp: [link]"
One line. One link. No paragraph.
Failure mode: asking them to move AND asking a question in the same message ("message me on WhatsApp, and what's your size?"). They answer the question in Instagram and never move.
Step 3: Make the link tap-to-chat, not a phone number
A phone number means they have to save your contact first. Most won't.
Use a wa.me link with a pre-filled message:
https://wa.me/20XXXXXXXXXX?text=Hi%2C%20I%20came%20from%20Instagram%20about%20the%20[product]
When they tap it, WhatsApp opens with the message already typed. They just hit send. One tap instead of four.
Put this link in your Instagram bio and in your saved replies.
Step 4: Send the first WhatsApp message yourself
If they tapped the link, you already have their number. Send the first message within a few minutes.
Script:
> "Hi [name], thanks for coming from Instagram. This is [your shop]. I have the [product] in [colour/size]. Delivery to [city] is [price] and takes [X] days. Should I confirm it for you?"
Everything they need in one message. No "how can I help you?" — they already told you.
Step 5: Confirm in the same chat, not later
Don't say "I'll check and get back to you." If you need to check stock, say so, then check immediately.
Confirmation message:
> "Confirmed: [product] — [colour/size] — [price] EGP. Delivery to [address] — [delivery fee]. Total: [total]. Payment: [method]. I'll send the tracking number when it ships."
Ask them to reply with one word: "confirm". That single word is your record.
Step 6: Handle the two silent moments
There are two points where buyers go quiet:
- After you send the price. They're comparing. Wait 2–3 hours, then send one message: "Still want me to hold this for you?" Nothing else.
- After you confirm the order. They're deciding whether to pay. Send the payment details once, then a follow-up the next morning: "Your order is packed and waiting. Send the payment when you're ready."
Failure mode: sending three messages in a row. Two is a follow-up. Three is pressure, and it kills the sale.
Step 7: Close the loop back on Instagram
After delivery, go back to the original Instagram DM and send a thank-you. Ask for a photo or a review.
Why it matters: your next buyer will scroll your DMs before they message you. A visible thank-you thread is proof you actually deliver.
The whole flow in one line
Qualify in the DM → give a reason to move → tap-to-chat link → first WhatsApp message with full details → confirm in writing → one follow-up per silence → close the loop on Instagram.
If you're handling 30–50 DMs a day, the move step is where most of your orders leak. Some sellers use a shared inbox like Co-Social to keep Instagram and WhatsApp conversations in one place so nothing gets lost between the two apps — but even without any tool, the scripts above will recover orders you're currently losing.
Start with step 2. Rewrite your move line today, and watch how many more people actually tap.
